Project Overview

This project is a professionally designed Google Sheets–based data collection and monitoring system developed to manage large-scale field operations across multiple provinces. It supports the full lifecycle of data collection, from planning and field execution to quality assurance and reporting. The system integrates structured data entry, automated validation checks, and dynamic dashboards to ensure accurate tracking of progress, improve data reliability, and enable real-time decision-making for program stakeholders.

Key Features

  • End-to-end workflow management: planning → fieldwork → QA → reporting
  • Automated progress tracking with real-time status updates
  • Built-in data validation to reduce entry errors and ensure consistency
  • Dynamic dashboard with KPIs (Received, Approved, Rejected, Remaining)
  • Province-wise performance monitoring and comparison
  • QA and verification tracking (QOC, HMIS, Vignettes, etc.)
  • Conditional formatting for status indicators and alerts
  • Structured multi-sheet architecture (data, QA logs, guidelines, summaries)

Tools and Technologies Used

The tracker was developed entirely in Google Sheets, utilizing advanced spreadsheet functionalities to simulate a lightweight data management system. Core techniques included complex formulas (such as IF logic, SUMIFS, and conditional aggregations), data validation rules, and conditional formatting for automated status tracking. Dashboard components were built using charts and KPI cards to provide real-time visual insights. The system design emphasizes scalability, structured data flow across multiple sheets, and ease of use for field and management teams.

Results and Outcomes

The solution enabled efficient monitoring of data collection activities across multiple provinces, significantly improving visibility into field progress and data quality. It provided real-time insights into submission status, approval rates, and pending workloads, allowing faster identification of bottlenecks and operational gaps. The automated QA tracking reduced manual effort and minimized reporting errors, while the dashboard facilitated clear communication of key metrics to stakeholders. Overall, the tracker improved coordination, accountability, and decision-making in the data collection process.

Role and Responsibilities

I designed and developed the entire tracking system from scratch, including data structure, workflow logic, and dashboard components. My responsibilities included building data entry frameworks, implementing validation and quality control mechanisms, and developing automated progress tracking and reporting features. I also created the dashboard to visualize key performance indicators and ensured that the system aligns with operational requirements. Additionally, I optimized usability for field teams while maintaining data integrity, consistency, and scalability across all components.
